Events/Marketing Coordinator:

Part Time:  20 hours per week.

Reports To:  Executive Director

Overview:

The TRF is seeking to fill a part-time (20 hours per week) position for the newly created role of Events/Marketing Coordinator.  The position will coordinate the marketing efforts and events at its Prospect, Kentucky farm where as many as 11 of the organization’s Thoroughbreds reside.  The candidate will be responsible for planning and executing events as well as providing marketing and promotional support for the development team in the TRF’s Saratoga Springs office as it relates to the Kentucky market and surrounding areas.

Responsibilities:

The candidate will be responsible for creating a marketing plan in conjunction with the development team in the Saratoga Springs, NY to include an events calendar and budget for the year.  The candidate will be responsible for coordinating with local volunteers to help create successful events and promote the mission of the TRF.   This includes conceptualizing new events, planning and executing and following up with new leads as well as profitability reports. The candidate will also work with the Marketing and Communications Manager to develop print and online targeted appeals directed at the local donors and prospects. 

The candidate will capitalize on the restored historic property located at Chestnut Hall Farm through the following:

     Promoting the use of the house and farm property for small functions.

     TRF hosted events. (Minimum of 4-6 events in year one)

     Third party hosted events to benefit the TRF. 

     Developing packaged experiences to be used as auction items.

     Promoting tours in conjunction with our partners at Horse Country Tours.

     Overseeing the maintenance & provisioning of the farmhouse for rentals in conjunction with owner.

In addition, the events coordinator may host TRF functions at other venues to accommodate more guests. 

The candidate will develop relationships and collaborations with local media outlets, vendors, companies, and organizations.

Background Requirements:

Excellent written and oral communications skills.

Must work as a team member with TRF staff, board and volunteers.

Must possess excellent planning and organizational skills.

A minimum of three to five years of successful hospitality industry experience and/or event planning for nonprofits with an extensive network of event planning contacts  in Louisville area.

Candidate must be comfortable working in databases and proficient with Excel, Word, Constant Contact and other social media platforms including Instagram, Twitter, Facebook, TIkTok, etc.

Horse related experience a big plus.

Professional references will be required.
